Executive Assistant

The leaders you support are set up for success by your prompt correspondence and proactive, solution-based approach. Your natural adaptability allows you to flourish in an environment that often requires nimble rearrangements, and you consistently remain calm, cool and collected while balancing multiple priorities.


This role is based out of our North Vancouver office and is open to hybrid remote work. Candidates must be eligible to work in Canada.

Meet Your Future Team:


You will be working directly with the Vice President, Information Systems and Vice President, Technology and Engineering Excellence, and will partner with a team of high-performing Executive Assistants in providing exceptional support to our leadership team across the Technology Organization.


If you were in the Executive Assistant role now, here are some of the core activities you would be doing:Providing exceptional administrative support with scheduling and calendar management  Organizing international and domestic travel arrangementsDeveloping agendas, meeting minutes, and presentation materialsOrganizing regular leadership team meetings within the functions you supportPrioritizing business asks appropriately to make sure the attention of the Executives focus on most critical needs and time commitments are metDrafting email correspondence and maintaining an organized inbox of the Executive according to authorizationFiltering and re-directing incoming communications to the Executives based on the nature of the eventsOrganizing and submitting expense reports in a timely mannerCoding vendor invoices and routing to the right leader in the systemOrganizing team building events within the functions your supportCollaborate with other EAs of the Technology Organization on meetings, team events and leadership offsites

Here are some of the things you could be working on in the future:Developing and implementing process improvements to enable effective operations within the function/s you support, with the support from your Executives and the EA to CIOSupport with initiatives and projects within the function you support per specific request from your ExecutivesWorking towards your own professional development goals based on your areas of interest in the business, with the support of your Executives

Are you our next Executive Assistant?You have min. 3 + years of Executive Assistant experience and are looking to grow your career as an EAYou’re a whiz with the Microsoft Office suite and have excellent business acumenYou have great time management skills, and naturally utilize sound judgement and prioritization when multi tasking and juggling competing prioritiesYou have strong emotional intelligence, discretion, and the ability to maintain confidentiality You know how to prioritize and effectively manage the logistics of an Executive’s schedule: pre-reads, agendas and following up on action items are second nature to you.You’re not afraid of meeting new people, building relationships and creating partnerships across the organization.You have a not-so-secret skill as a travel agent and are able to manage complex international multi-leg travel, often requiring continuous changes and reschedulingYou are able to work flexible hours, weekends and holidays occasionally as needed to support our global businessYou are proactive in identifying the root cause of issues, seeking the best (sometimes not the easiest) solutions with an unwavering commitment to do what is rightYou remain highly flexible and adaptable when faced with ambiguityYou effectively balance autonomy and collaborationYou inspire breakthrough thinking and continuous improvementYour passion for your work is paralleled by your passion for getting outside and living it


$80,000 – $100,000 a year

A reasonable estimate of the pay range is CAD $80,000 – CAD$100,000 at the time of this posting. Within the range, individual pay is determined by factors such as job-related skills, relevant experience, education and/or training.
Please note that the range details above reflect the base pay only and does not include our competitive bonus program and benefits that we offer.
